This policy explains what personal data we collect when you use our website at samstlimousine.com or book any of our luxury chauffeur services, why we collect it, and how we handle it.

Information We Collect

We collect information from you in the following ways:

a) Information you provide directly

  • Identity & contact data: first name, last name, email address, phone number
  • Booking data: pickup and drop-off locations, pickup date and time, number of passengers, flight number, special requests, and preferred vehicle
  • Service preferences: service type (airport transfer, corporate travel, wedding, cruise transfer, hourly hire, or special event)
  • Communications: messages you send us via contact forms or email

b) Information collected automatically

  • Technical data: IP address, browser type and version, device type, operating system, referring URLs, pages visited, and time spent on pages
  • Cookies and similar technologies: session cookies, preference cookies, and analytics cookies (see Section 8)

How We Use Your Information

We use your personal data to:

  • Process, confirm, and manage your bookings and send booking confirmation emails
  • Assign a professional driver and notify you of driver details before your journey
  • Process deposit and balance payments securely through Stripe
  • Send balance-due reminders 48 hours before your journey
  • Respond to your enquiries and provide customer support
  • Improve our website, services, and customer experience
  • Send marketing communications where you have provided consent (you may opt out at any time)
  • Comply with legal and regulatory obligations in the jurisdictions we operate in

Our legal bases for processing are: (i) performance of a contract — processing your booking; (ii) legitimate interests — improving our services and fraud prevention; (iii) your consent — marketing communications; and (iv) legal obligation — record-keeping and compliance.

Sharing Your Information

We do not sell, rent, or trade your personal data. We share it only with:

  • Our drivers: only the booking-relevant details they need to complete your journey (pickup location, time, passenger count, and any accessibility notes)
  • Stripe, Inc. — our payment processor. Stripe handles all card data under PCI DSS Level 1 compliance. We never store your card number on our servers.
  • Resend — our transactional email provider, used solely to deliver booking confirmations and service notifications
  • Cloudflare R2 — cloud storage for any uploaded documents or photos relevant to your booking
  • Law enforcement or regulatory authorities where required by law or to protect the safety of persons

All third-party service providers are contractually obligated to handle your data securely and only for the purposes we specify.

5.

Payment Data

All payment transactions are processed by Stripe, Inc. We receive only a transaction confirmation, the last four digits of the card used (for your reference), and the payment amount. We do not hold, process, or store full card numbers, CVV codes, or bank account details.

A 30% deposit is charged at the time of booking. The remaining balance is due 48 hours before your scheduled journey. All amounts are displayed in your local currency (USD, AED, CAD, or AZN).

6.

Data Retention

We retain personal data only as long as necessary for the purposes described in this policy:

  • Booking and payment records: 7 years, to comply with tax and financial reporting obligations
  • Customer account data: for the duration of the customer relationship plus 3 years
  • Marketing consent records: until you withdraw consent
  • Website analytics data: up to 26 months in aggregated or anonymised form

After the applicable retention period, we securely delete or anonymise your data.

Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: request a copy of the personal data we hold about you
  • Rectification: ask us to correct inaccurate or incomplete data
  • Erasure: request deletion of your personal data where there is no compelling reason for us to continue processing it
  • Restriction: ask us to restrict processing of your data in certain circumstances
  • Portability: receive your data in a structured, machine-readable format
  • Objection: object to processing based on legitimate interests, including direct marketing
  • Opt out of sale (CCPA/CPRA — California): we do not sell personal information; this right is therefore automatically satisfied

Our website uses the following categories of cookies:

You can control cookie settings through your browser. Disabling non-essential cookies will not prevent you from making a booking.

International Transfers

As a global company operating in the USA, UAE, Canada, and Azerbaijan, your personal data may be transferred to and processed in countries outside your home jurisdiction. When transferring data across borders we rely on:

  • Standard Contractual Clauses approved by the European Commission (where GDPR applies)
  • The adequacy decision framework where applicable
  • Contractual protections with our US-based service providers (Stripe, Resend, Cloudflare)

All international transfers are subject to appropriate safeguards ensuring your data receives equivalent protection.

Security

We take the security of your personal data seriously and implement appropriate technical and organisational measures, including:

  • TLS/HTTPS encryption for all data in transit
  • Encrypted database storage for sensitive information
  • PCI DSS-compliant payment processing via Stripe
  • Role-based access controls — staff see only the data they need to perform their role
  • Regular security reviews and updates
